Job Description

About The Role 

Based at our Narangba site, IPA Group is seeking a proactive and customer-focused Customer Service Coordinator to join our team on a 3-month contract

This role offers the potential for extension, depending on business needs and individual performance. It’s a fantastic opportunity for a driven individual to play a key role in supporting internal sales operations and delivering exceptional service to customers across Australia. 

 

Key Responsibilities

  • Collaborate with customer service, production, and technical teams to align customer needs with business capabilities.
  • Manage end-to-end resolution of customer, reseller, and supplier queries.
  • Maintain accurate records of customer inquiries and complaints to support continuous improvement.
  • Provide timely and accurate pricing, delivery, and product information.
  • Maintain and update customer databases and prepare regular activity reports.
  • Identify and recommend process improvements to enhance customer service efficiency.
  • Support Business Development Managers with prompt responses and accurate order entry into the ERP system.
  • Generate purchase orders, invoices, and arrange pre-payments for cash customers.
  • Research and input product codes for quoting and invoicing purposes.
  • Liaise with internal departments including Finance and IT for reporting and system accuracy.
  • Coordinate quoting activities, including follow-ups and quote tracker management.
  • Assist with estimating by preparing accurate quotes using ERP systems and liaising with procurement and technical teams.
  • Monitor and manage inventory levels to meet forecasted sales demand across locations.
  • Coordinate logistics and order placement to ensure timely product availability.


About You

  • Previous experience in a similar position within a Sales Team (essential)
  • Experience in infrastructure, manufacturing, or construction industries (desirable)
  • Familiarity with Electrical, Communications, or Drainage sectors (desirable)
  • Excellent verbal communication and negotiation skills
  • A team player who thrives in a vibrant and close-knit environment
  • Passionate about turning complex customer situations into positive experiences
