Job Description

Position Overview

Based at our Heathwood site, Civilmart is seeking a Project Coordinator to coordinate major projects and act as the primary point of contact between clients and production. Working within the QLD Project Team and reporting to the QLD Business Development Manager, this role ensures projects are delivered in line with contractual commitments and customer expectations. The position manages all aspects of contracts administration, builds strong customer relationships through regular contact, and supports the conversion of sales enquiries into confirmed orders.

 

Key Responsibilities

  • Liaising with the Drafting Team to coordinate engineering submittals and production drawings
  • Preparing and maintaining project documentation, including QA packs, Inspection and Test Plans, and project folders
  • Coordinating with production sites to schedule customer orders and monitor delivery timelines
  • Acting as a key point of contact for customers regarding delivery requirements and project status updates
  • Assisting with the preparation of monthly progress claims and supporting project financial reporting
  • Producing reports and collating data for Management and key internal stakeholders
  • Using ERP systems to accurately record, document and track project information
  • Supporting incoming enquiries from internal teams, subcontractors and clients, ensuring timely follow‑up and resolution
  • Providing ongoing administrative and coordination support to the Project, BDM and Implementation teams to meet defined project timeframes

 

Desired Skills and Experience

What We Are Looking For

  • Experience in a similar project support or coordination role is preferred but not essential; alternatively, relevant qualifications or experience in a manufacturing environment
  • Knowledge of production planning, purchasing processes, ERP system activities and reporting requirements
  • Ability to develop a strong understanding of data, purchasing, manufacturing products, customer requirements and a fully integrated national ERP system
  • Excellent communication skills and confidence dealing with internal and external stakeholders
  • A customer-focused mindset with strong attention to detail
  • The ability to work within defined project scopes and timeframes
  • A collaborative, adaptable approach and willingness to support the broader team
