Civilmart is a leading manufacturer and supplier of concrete products across VIC, SA, and WA and part of CRH, one of the world's largest building materials groups. We're looking for an organised, detail-driven administrator to join our Corio Customer Service team in a permanent part-time capacity.

You'll be the administrative backbone of our Customer Service team - keeping data, documents, and systems running smoothly so our coordinators and sales team can focus on delivering great customer outcomes.

ABOUT THE ROLE

Reporting to the Branch Manager, you will be the administrative backbone of our Customer Service team. Your key responsibilities will include:

  • Document control - filing, scanning, archiving, and correspondence management
  • Maintaining CRM records, activity notes, and follow-up schedules
  • Preparing and distributing operational reports including orders, backorders, delivery schedules, and DIFOT
  • Supporting purchasing of resale products and services within approved processes
  • Administering quotes, orders, delivery dockets, and proof-of-delivery records
  • Providing overflow support to Customer Service Coordinators for routine phone and email enquiries
  • Ensuring compliance with data governance, pricing controls, and document management standards

ABOUT YOU

  • 2+ years in office administration or sales support - manufacturing, construction, or supply chain a bonus
  • Exceptional organisation and attention to detail
  • Solid Microsoft 365 skills: Outlook, Word, Excel (pivot tables and lookups a plus), and Teams
  • Experience with CRM or ERP systems for data maintenance, reporting, and document control (preferred but not essential, we can train you!)
  • Clear, professional written and verbal communication skills
